Generate & Send Quote
In this section, you will learn how to generate a quote to print, email or fax. You will also learn the different options available to format your generated quote.
- Select the quote you want to print/fax or email.
- Select the print icon. You will be directed to the Generate Quote screen show below.
- Quotation Header - By default the title of the quote form is "Quotation", however if you prefer a different title enter it here.
- Print Options - Check the box next to the selections you prefer. 1. Separate Quote by Mfg - If you have more than one manufacturer on the quote and what each manufacturer on a separate quote, select this box. You will now produce multiple quotes. 2. Print Spec Sheet Links - This is checked by default. Uncheck this box if you do not want the specification links to appear on the quote form. 3. Print Portrait - By default your generated quote will print in portrait format. Uncheck this box if you want a landscape generated quote form.
Note: Defaults for these options can be set in the Office/Site record. See: Site Maintenance & Settings

- Print Columns - By default all boxes are checked to print. Uncheck any box to omit it from printing on the quote form.
- Manufacturers Box - All manufacturers on the quote are listed here. If you want omit any manufacturer just uncheck it's box.

- Email To: Enter any additional email addresses here that you would like to send the quote to.
- CC To or Bcc To: Enter any additional email addresses here that you would like to copy the quote to or Blind copy the quote.
- Comments - Comments entered here will appear on the generated quote form.
When finished select Generate Quote. Your generated quote will appear in a preview screen. If you are satisfied with the way the quote appears, select the Fax or Email buttons at the top of the screen. (Note: These buttons do not appear until you generate the quote.) If you want to make changes to the generated quote, simply make the changes listed above and select Generate Quote to refresh the preview screen.
Attachments:
Available attachments will apprear in the documents window. Once you have generated your quote you may select any of the available documents to attach to your e-mailed quote. These attachments will be sent as a separate attachment. Note: This function is only available for e-mailed quotes.

Note: The manufacturer names appear in the .pdf file name when you generate quote. Additionally, you can separate a quote by manufacturer, create multiple quotes in .pdf and broadcast them. This allows you to broadcast the quotes and the receiving customer can select which quote they need to open by reading the manufacturer name in the file.
